Virgin Trains is boosting its business efficiency by implementing Version One's document imaging solution, DbArchive. This document imaging technology, which will be tightly integrated into the company's OpenAccounts finance system from COA Solutions, will significantly streamline Virgin Trains' business processes and save time and archiving costs by cutting paperwork. Version One's system, which will be made available to 250 Virgin Trains staff across the UK, is expected to go live in September 2008

Virgin Trains identified the need for a reliable and fully integrated document management and imaging solution that could quickly and easily make available images of all key business documents across its business including invoices, contracts and service level documents. With DbArchive, documents are scanned in, imaged and then automatically tagged to the appropriate record in the accounting system.

DbArchive allows documents to be retrieved within seconds from the desktop, dramatically improving productivity and significantly reducing costs. By totally eliminating the need for traditional paper-based document storage, this space can be much better utilised.

Andy Cross, Business Support Director for Virgin Trains, comments, "As a service driven company, it is extremely important that our business processes are supported by market-leading systems such as Version One's DbArchive to enable us to operate as efficiently as possible."

Cross adds, "DbArchive will free-up tremendous amounts of physical storage space by dramatically cutting the amount of paper we generate. As well as the obvious space saving benefits, DbArchive will save us time and money as staff will no longer have to trawl through storerooms full of documents and complete lengthy and costly manual-based tasks such as printing, photocopying, posting and filing paperwork."
